the fine print
cookies & data
A plain-language note on what we keep when you visit, shop or send us a note - and how we use it to make the store a little better.

The short version
Swan Archives is a small handmade studio, not a data business. There is no shopper account and no checkout on this site: when you order, we finish the conversation over Instagram DM.
- We do not sell or rent your information.
- The storefront uses no advertising or cross-site tracking cookies.
- Your browser remembers a few small things - your cart, your currency and any custom design in progress - so the site feels continuous while you browse.
- If you send feedback or join the letter list, we use it to improve the shop and to keep in touch.
What we collect
Details you share with us. When you message us to order, we see the name, handle, delivery address, choices and photos you send there. If you use the feedback tab, we receive your mood answer, your note, the page you were on and your email address if you choose to leave one. If you join the letter list, we receive your email address.
Things your browser saves for you. Your cart selection, currency choice, a day-long cache of exchange rates and an unfinished custom-order design are kept in your browser's local storage. They stay on your device and are not sent to us until you choose to send your order sheet.
A little technical information. We use aggregate, privacy-friendly analytics to understand which pages and pieces people visit. Our host also passes along an approximate country so prices can open in a sensible currency, and the request's IP address is used briefly to rate-limit forms and keep spam out. We do not use either to build a profile of you.
Cookies
The shop does not use advertising cookies, remarketing pixels or cross-site tracking. Vercel Analytics, which tells us how the site is used, is cookieless.
The only cookie the site itself sets is one essential session cookie, swan_admin, and only when the studio signs into the private dashboard. Shoppers never receive it.
The cart, currency and design draft mentioned above use local storage, not cookies. It works the same way for you: clearing your browser's site data removes it, and the store will simply start fresh next time.
A few services help us run the shop: Vercel for hosting and analytics, Cloudflare for delivery and security, Neon for the database, and frankfurter.app for exchange rates. They only receive what they need to provide those services.
How we use it to improve the store
- To notice which journals, charms and pages people respond to, and which pieces deserve a place on the shelf.
- To spot confusing moments in the custom builder, sizing notes or product descriptions, and rewrite or redesign them.
- To improve photographs, options and the clarity of prices, so choosing a journal feels easier.
- To answer your messages, keep an order straight, and send the occasional letter about new pieces if you asked for one.
- To keep the site fast, secure and free of spam and abuse.
How long we keep it
Feedback notes, letter-list emails and order conversations are kept only while they are useful to the studio - for example, to finish an order, remember a preference or improve the shop. You can ask us to delete them at any time.
Browser storage stays until you clear it, with exchange rates refreshing after a day. Rate-limit records and server logs are short-lived.
Your choices
You can clear local storage and block cookies in your browser settings. Blocking the admin cookie only affects the private dashboard, not shopping. You can also ask us what we hold about you, ask for a correction, or ask us to delete it.
To do any of that, message @swan_journals on Instagram or use the contact page. If you joined the letter list, a reply asking to leave is enough.
A last note
This page explains the studio's current practice in plain language. If anything here is unclear, ask us - we would rather answer a question than have you guess. You can also read more about how a custom journal is made.
